HPX DIGITAL GOES INTERNATIONAL – RFP FOR MATCHMAKER RELEASED

HPX Digital is an Interactive event for Digital Creators that takes place in Halifax October 22-26, 2013 and runs concurrently with the Halifax Pop Explosion music festival. HPX Digital focuses on cutting edge trends in Gaming, Mobile, Web, Startups, Design and Marketing and will showcase Atlantic Canada as a hub for the digital sector, connect  professionals currently working in digital/interactive to buyers/potential collaborators and create new opportunities for the companies they represent.

In order to support the digital media companies in Atlantic Canada HPX Digital will organize an incoming delegation of international investors and decision makers to interact with companies who will be showcasing their work, attending one on one meetings with the international buyers and workshop sessions. This international delegation is made possible through the support of ACOA and the IBDA program.

The fundamental objective of this initiative is to provide each participating Atlantic Canadian company with an opportunity to meet a number of pre-qualified potential customers, partners, agents, distributors/publishers and other key industry contacts in the region as determined by each company.

RFP FOR MATCHMAKER 

REQUEST FOR PROPOSAL

INTERNATIONAL MATCHMAKER – HPX DIGITAL

October 22-26, 2013

Halifax, Nova Scotia

BACKGROUND

HPX Digital is an Interactive event for Digital Creators that takes place in Halifax October 22-26, 2013 and runs concurrently with the Halifax Pop Explosion music festival. HPX Digital focuses on cutting edge trends in Gaming, Mobile, Web, Startups, Design and Marketing and will showcase Atlantic Canada as a hub for the digital sector, connect 300 professionals currently working in digital/interactive to international buyers and create business opportunities for the companies they represent.

In order to support the digital media companies in Atlantic Canada HPX Digital will organize an incoming delegation of international investors and decision makers to interact with companies who will be showcasing their work, attending one on one meetings with the international buyers and export development workshop sessions. The international buyers will be recruited through a matchmaker and consultation with the sector.

The fundamental objective of this initiative is to provide each participating Atlantic Canadian company with an opportunity to meet a number of pre-qualified potential customers, partners, agents, distributors/publishers and other key industry contacts in the region as determined by each company.

PROJECT ELEMENTS

The project will consist of:

  • Consultation with organizing committee/company officials to ensure that the sector objectives are clearly understood;
  • Source targeted qualified international potential business partners and securing their commitment to attend HPX Digital October 22-26, 2013 to meet with Atlantic Canadian companies.
  • Completing a systematic prospecting campaign on behalf of HPX Digital and the International Committee to ensure each Atlantic Canadian Company is scheduled for a minimum of six meetings with international potential business partners while attending HPX Digital.
  • Liaising with logistics team to ensure proper delivery of program and to oversee the three days of business-to-business meetings and incoming delegate.
  • Preparing a detailed summary report within thirty days of completion of project reporting on the individual company results.

 

SPECIFIC DELIVERABLES

The contractor will:

  • Evaluate the Atlantic Canadian companies, including capacity, capabilities, products and services.  This will require further contact with the companies/industry associations/international committee by phone and e-mail to seek clarification on the products/services and market interests to match with potential business partners;
  • Identify international potential business partners for Atlantic Canadian companies based on criteria established through supplied corporate profiles and any additional information gained through direct contact with the Atlantic Canadian companies;
  • Secure up to 25 international potential business partners to form the incoming delegation attending HPX Digital 2013 to meet with Atlantic Canadian companies.
  • Schedule and co-ordinate business meetings.  A minimum of six (6) pre-qualified meetings with potential partners per Atlantic Canadian company is required;
  • Provide international potential business partners with an individual agenda, including a profile on each of the companies they will be meeting, a minimum of fourteen days prior to the commencement of the event;
  • Manage the logistics associated with the three days of business-to-business meetings. The project coordinator will handle the day-to-day logistics.

SCHEDULE

The contractor will begin work immediately upon approval to proceed.  The expected completion date is November 26, 2013 (based on receipt of final report).

SELECTION CRITERIA

The successful contractor will be determined based on the following:

  • The extent of knowledge and experience in relation to the work;
  • Network of contacts within the business community throughout North America and Europe
  • Understanding of the scope and objectives of the proposal;
  • Proposed approach, work plan and schedule;
  • Cost*  (in Canadian dollars)

*Determination of best value may not result in the lower cost being accepted

BUDGET

  • Please include in your quotation any administration expenses – faxes, mailings, telephone, etc.
  • Total budget for up to 25 international potential business partners’ airfare, accommodations and ground transportation.

PAYMENT SCHEDULE

Payment schedule is as follows:

  • 25% upon signing of contract
  • 50% upon submission of final matchmaking schedule
  • 25% holdback paid upon satisfactory completion of the project

Failure to meet advance deadline for receipt of the final matchmaking schedule may result in adjustment to the final holdback/payment.

CONSULTANT PROPOSALS

The proposal should include a company prospectus, services offered and background and experience of qualified personnel relating to the project management and project team. In particular, the proposal should note the contractor’s capabilities in the Digital Media & Gaming sector. If possible, names of former clients for whom similar or relevant work has been performed should be presented as references, as well as a description of the work completed.

Selection will be based on the capabilities and experience of the project team, adherence to the terms of reference and budget. The lowest cost, or any, proposal may not be selected.
